ClerkTrack is a full featured clerk recording management solution that that is modular in design to accommodate all size recording environments.  The base system allows for the recording of critical records information including land and deed records, marriage licensing, probate records, business and liquor licensing.  As clerk recording processes vary based on a wide variety of variables, ClerkTrack open design allows for individual customizations to ensure office efficiency.   ClerkTrack will utilize an existing MS SQL Server database for capturing and retrieving recorded information and is tightly integrated with our state of the art electronic imaging applications (see below).

Customized modules include:
  • Deeds – For the recording of land transactions within the clerk’s office.  Module contains user defined windows pull down menus for document types, customers, recording fees and Grantor / Grantees.  Also includes, document labeling, receipting, scanning and viewing.
  • Marriage – For the acceptance and creation of Marriage applications,   certificates and applicable recording information.
  • Probate – Automated assignment of probate case number. Flexible data entry allows for multiple probate filings into the same case and produces identifying labels for each.  
  • Business License – Creates business license forms and tracks fees and renewal notices.
  • Liquor License – Creates liquor license forms and tracks fees.
  • Miscellaneous – Provides cashiering and receipting functions for all cash transaction (i.e. copies, film, voter’s data etc) within the clerk’s office outside of those listed above.
  • Cashiering - Functions ensure that documents are processed quickly with automated fee calculation.  Allows acceptance of cash or charge accounts.
  • Births / Deaths - For the acceptance and creation of vital statistic applications, certificates and applicable recording information.

ADDITIONAL UTILITIES AND FEATURES:

  • Reports – Including Cashier, Treasurer / Fee Allotment, General Index, Direct Index, Indirect Index, Plat / Survey and more.
  • Integrated Imaging – All Application are integrated with document imaging capabilities.
  • Image Export – For transmission of images to third parties and / or microform archiving.
  • Mail Merge – For license renewal (Business and Liquor license modules)
