Famed major league baseball executive Branch Rickey once said, “I don't care if I was a ditch-digger at a dollar a day, I'd want to do my job better than the fellow next to me. I'd want to be the best at whatever I do.”  Though he was earning more than “a dollar a day,” when Lynn Hurley started “digging ditches” over 20 years ago his inventive mind began formulating ideas to create better ways to repair and manage underground water and sewer systems.  Hurley, President of HURCO Technologies in Harrisburg, South Dakota said, “I started HURCO Technologies to develop and manufacture products for the testing, maintenance, and repair of sewer and water systems with innovative designs, quality production, and an absolute concern for safety.”

Today HURCO’s is a world leader in valve and hydrant maintenance products and markets its products throughout North America and many other countries around the world.

 

Lynn Hurley learned early on that successful companies operate leanly and have the ability to adapt quickly to fast-changing market needs.  “We’ll invest in technology that helps people

One of the tasks Hurley was describing is the daily filing, storing, and retrieving of office documents.  Active Data Systems provided HURCO with ScanFile v.8 as an efficient means to automate those tasks.

HURCO has scanned and indexed into ScanFile the contents of more than 14 file cabinet drawers, which makes both staff and customers happy.  “Instead of going to a file cabinet or upstairs in storage I can simply look up documents on my computer,” says office assistant Heather Campbell.  She added, “Customers don’t have to wait for information.  It never takes me longer than 30 seconds to find a document and quickly fax or email it to whoever needs it.”

 

Hurley pointed out that going to a filing cabinet to get a piece of paper doesn’t sound like a big time-consuming task, but “Do the math, a few minutes here and a few minutes there thousands of times throughout the year is poor use of valuable employee time.”  He added, “When you eliminate non-productive activities it’s like getting another employee for free.”

Previously, HURCO provided office space for their accountant to use throughout the week.  Said Campbell, “With

ScanFile, our accountant now has secured online access to deposit slips, as well as our accounts receivable and payables documents.  He used to have a desk in the building; now he is permanently located off-site.”  The space previously allocated for accounting purposes is now space for production and marketing without any additional costs.

 

HURCO must retain certain documents for legal or tax purposes for various designated time periods (usually 3 to 7 years).  Although some businesses choose to scan all their backlog Hurley says for the few times they need to access those documents it’s not worth the time and effort to scan them.  .  “However anything we create new goes into the system,” says Hurley. “ScanFile was a great investment for us; it literally pays for itself by saving us valuable time and space, and by being able to utilize our people more efficiently and profitably.”
